Overview

The Legal Services Operations Specialist coordinates internal departmental processes including but not limited to tracking and reporting on paralegal utilization, oversight of vendor relations, implementation and maintenance of procedures related to paralegal recruiting efforts, and fostering continuous improvement in paralegal operations.

Responsibilities

ESSENTIAL FUNCTIONS:

  • Coordinates paralegal recruiting processes across U.S. offices by engaging in timely and appropriate communications with all stakeholders to create a highly positive experience.
  • Maintains candidate information and application status within LawCruit for program paralegals and assists Legal Services Leadership by exporting and analyzing data to collect statistical metrics related to recruiting.
  • Manages communications in RGParaProgram inbox around candidate status, interview scheduling and opportunities for career partner engagement.
  • Coordinates interview processes including internal training, resume review, scheduling, panel assembly, feedback collection, and updates to candidates.
  • Tracks and manages data related to career partners in real time from recruitment through onboarding. Generates various summary reports and statistical metrics as directed.
  • Participates in recruiting projects and initiatives and actively identifies process Compiles and maintains market intelligence.
  • Represents the firm through participation in recruiting and networking events.
  • Maintain the Paralegal workbook with up-to-date information related to the department and paralegals.
  • Prepare, maintain and distribute regular reports relating to hours, utilization, attendance patterns, headcount, training and other operations critical reporting.
  • Serves as a point of contact for vendors and career partners. Communicates daily with counterparts, understanding and respecting complex and confidential materials.
  • Prioritizes conflicting needs; handles matters confidentially, expeditiously, proactively and follows through on tasks until successful completion.
  • Composes and edits correspondence, presentations and other documents.
  • Assists with other Legal Services functions as necessary.
  • Complies with department and firm administrative procedures and policies.

  • Available to work overtime.

 OTHER RESPONSIBILITIES:

 

Position will be responsible for working on client, firm and department related projects for 300 hours per year. Position will also handle other work-related duties as assigned.

 

Qualifications

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

  • Bachelor’s degree is preferred.
  • A minimum of 3-5 years of administrative experience in a fast-paced, law firm, legal department, or professional services industry is also preferred.
  • The position requires strong interpersonal, verbal and written communication.
  • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint) and applicant tracking software experience is a plus (LawCruit and iCIMS preferred).

Compensation and Total Rewards Package

The anticipated pay range for this role is which represents our good faith and reasonable estimate of the starting salary range at the time of posting. In addition, this role is eligible for a discretionary bonus based on performance. The actual offered rate for this position will be determined based on job-related, non-discriminatory factors, including qualifications and experience, geographic location, education, external market data and consideration of internal equity.  

 

Boston, Chicago, & Washington, D.C.: $69,000 - $103,000 

New York City:  $72,500 - $108,000  

Working Conditions

This position requires hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development and effective collaboration with colleagues and management.
