Job Title: Sr Contract Specialist (Indirect Procurement)

Essential Function

Supporting the development and implementation of supplier processes based on industry best standards. Provides contract reporting on new and expiring documents, terms and agreements. Works with Legal and the business to streamline any process and provides standards for the business groups. Negotiation and communicating to internal and external parties are required.

The Sr. Contract Specialist will keep pace with the demands of a dynamic business climate, anticipate problems and develop appropriate solutions, and provide the necessary support for these initiatives.

Primary Duties

30% Responsible for negotiating agreements such as NDA (Non-Disclosure Agreement) MSA (Master Services Agreement), SOW (Statement of Work) and other structure agreements in Quickbase. This position requires extensive negotiation experience, as many agreements change per supplier. Part of the negotiation is speaking with internal and external parties at meetings and events. Responsible for meeting with suppliers and negotiating for the business on assigned contracts. Including suggesting appropriate language for the contract and how to work with the supplier to find a reasonable solution for both parties.

30% Support Procurement Category Manager in conducting RFI/RFQ/RFP’s and identify opportunities to bid on services, materials, or commodity requirements. Reviews and evaluates spend and proactively seek potential new suppliers or vendor consolidation opportunities to encourage competition that results in best value and cost opportunities for the business.

20% Supports meeting with internal business partners for their review, redlining and understanding of the agreement. Suggestions for thenegotiation strategy, best practices, and discussing negotiation tradeoffs for the agreement. This is to include meeting with business partners and Legal review.

20% Manages agreements that are expiring through Quickbase, emails, and other methods of communications with various internal business partners. This includes working with Procurement for the determination of running an RFP. RFP support and onboarding new suppliers or updating agreements with the existing suppliers. Additionally this includes QBR (Quarterly Business Reviews) on an as needed basis.

Knowledge, Skills And Abilities

  • Bachelor's Degree, or equivalent with related experience and/or training.
  • Minimum of 5 - 7 years of experience reviewing, redlining, and negotiating agreements and along with experience within managing onboarding suppliers and the RFP procurement process.
  • Capable of supporting the development and Key Performance Indicators to manage the procurement process and using a Quickbase (contract management tool) to manage the contacting process.
  • Significant experience with coordinating process, negotiations, and aligning internal and external partners for meetings.
  • Experience evaluating or monitoring contract performance to determine necessity for amendments or extensions of contracts, renewals, and contractual obligations.

Working Conditions And Physical Requirements

The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, retail stores, and residences or commercial vehicles, e.g., use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, etc. The work area is adequately lighted, heated, and ventilated.

The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, files, books, small parts; using a keyboard, driving an automobile, etc. No special physical demands are required to perform the work.
