Job Summary:

We are seeking a detail-oriented and organized Litigation Paralegal to join our legal team at our headquarters in Grand Rapids, Michigan. The ideal candidate will possess a strong understanding of legal procedures and demonstrate excellent organizational and communication skills. This role is crucial in ensuring the efficient handling of subpoenas, from initial intake through resolution. Additionally, the Litigation Paralegal will support various litigation-related functions and help maintain our law department’s case management system

Responsibilities:

Subpoena Management:

  • Receive, review and log incoming subpoenas and related legal documents.
  • Evaluate subpoenas for compliance with applicable laws and regulations.
  • Coordinate with internal departments and external parties to gather necessary documents and information in response to subpoenas.
  • Review gathered documents and information for responsiveness, privilege and/or confidentiality issues, and redact as necessary.
  • Track the status of subpoenas and ensure all deadlines at met, requesting extensions when necessary.
  • Prepare and send appropriate responses or objections as required.
  • Interface with internal and external parties and escalate issues as appropriate.
  • Collaborate with outside counsel in responding to high-priority subpoenas, including those from government agencies.
  • Coordinate with external e-discovery vendor handling document productions for subpoenas managed internally.

Litigation Support:

  • Draft “Cease and Desist” letters for attorney review and provide regular status reports.
  • Initiate and oversee the Litigation Hold process to ensure compliance with legal requirements.
  • Monitor the CSC database for the service of legal documents, such as summonses, subpoenas and notices, on the company and coordinate with the proper individuals to ensure timely response.
  • Assist in maintaining organized case files, including documentation, correspondence and deadlines related to ongoing legal matters.
  • Coordinate with external legal counsel and internal clients to gather information and documents required for legal proceedings.
  • Assist in organizing case materials, drafting legal documents and managing documentation related to ongoing legal matters.

IT Forensics and Digital Discovery:

  • Manage and collaborate with internal departments and external vendors to conduct IT forensics, including laptop evaluation, email searches, and cell phone discovery.
  • Ensure the accurate collection, preservation, and analysis of electronic evidence, working closely with vendors to identify and extract relevant digital data.
  • Lead technical discovery efforts, ensuring the timely delivery of digital evidence and its readiness for legal proceedings.
  • Establish and maintain strong relationships with external vendors to ensure the efficient execution of all technology discovery tasks.

Data Management, Reporting and Documentation:

  • Maintain accurate and organized records of lawsuits, legal research, analyses, and other relevant documentation utilizing legal software.
  • Prepare and compile reports from the legal software, presentations, and materials for upper management review.
  • Draft, edit, and format legal documents, contracts, agreements and correspondence as directed by attorneys and paralegals.
  • Collaborate with the legal team to review and proofread documents to ensure accuracy and compliance with company standards.

Client Interaction:

  • Interface with internal clients, external parties, including outside counsel, and vendors to facilitate communication and gather relevant information.
  • Provide excellent customer service by addressing inquiries and requests professionally and promptly.

Administrative Support:

  • Schedule meetings and appointments with internal clients and outside counsel for paralegals and attorneys.
  • Assist in reviewing invoices and timekeeping submissions by outside counsel.
  • Coordinate the preparation of outgoing mail shipments for time-sensitive documents, ensuring accurate labeling, packaging and timely delivery.

Requirements:

  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Detail-oriented with the ability to manage multiple tasks and priorities in fast-paced environment under minimal supervision.
  • Collaborative team player with the ability to exercise independent thinking and sound judgment.
  • Proficiency in Microsoft Office Suite, legal research tools and databases.

Education/Experience:

  • Bachelor’s degree in Paralegal Studies or a related field of study.
  • Prior experience as a litigation paralegal, legal assistant or related role in the legal field is strongly preferred.
  • Experience with law department case management systems and litigation reporting.
