The primary role of the Assistant to the CEO is to support the day-to-day administrative function of his business and personal office. Additionally, this role will provide administrative support to the General Counsel, and take on administrative tasks for various CEO initiatives and executive leadership projects. This role will directly report to the Chairman & CEO and General Counsel, with a dotted line to the Chief of Staff.

Primary Responsibilities

Office of the CEO


  • Liaise with high-level internal teams and external contacts across multiple time zones, including corporate senior teams, government officials, university presidents and CEOs of peer companies, and board members;
  • Handle sensitive interactions with diplomacy and discretion;
  • Manage the CEO’s ever-changing and complex calendar, working with parties across several time zones;
  • Coordinate and execute intricate domestic and international travel arrangements, including flights, ground transportation, passport and visa management, etc.;
  • Support the administrative bench of special projects, such as high-profile meetings and events, as well as a range of corporate activities;
  • Reconcile and process expenses and invoices promptly;
  • Carry out a variety of personal tasks, some of which will intertwine with the CEO’s professional duties, while maintaining the highest degree of confidentiality and professionalism.
  • Work closely and collaboratively with the Chief of Staff on administrative tasks and projects that support the CEO’s and executive leadership team’s strategic initiatives.

Office of the General Counsel


  • Maintain the General Counsel’s calendar and schedule meetings as requested;
  • Book travel, to include airfare, hotel accommodations, and ground transportation;
  • Timely processing of business expenses and invoices;
  • Engage in internal and external email and phone communications as needed;
  • Assume various legal administrative tasks and projects as identified by the General Counsel

Minimum Qualifications

  • Bachelor’s Degree in Business, Communications, or a related field
  • 3+ Years of experience working directly for a VP or above.
  • History of willingness and ability to work flexibly and travel 2-4 times per year when required.
  • Detail-oriented, superior organization and time management skills,
  • Ability to prioritize and manage multiple and shifting priorities with ease.
  • Strong verbal and written communication skills, with the ability to effectively interact with a diverse group of people.
  • Proven ability to maintain confidentiality and separation of information and duties when supporting multiple executives
  • Proficient in Google Enterprise Software (Google Mail, Google Drive, Google Docs, etc.), Microsoft Office Suite (Word, Excel, PowerPoint), Asana Project Management Tool, or the like, ChatGPT, and virtual meeting platforms, including Zoom and Google Meet.
  • Excellent judgment and problem-solving skills, with the ability to anticipate needs
  • Highly collaborative and resourceful individual, while also able to work independently to achieve goals
  • Project management experience; managing deadlines and supporting tasks/projects as needed to bring them to completion.
  • Strong sense of integrity
  • Currently leveraging Generative AI tools in the workplace to increase efficiency
  • This is a hybrid position which will require in-office work at times

The salary range for the Executive Assistant to the CEO and General Counsel role is currently between $71,000 and $80,000, and the amount that is offered is based on the candidate's skills, experience, and education, among other factors determined by the business. It is within Kaplan's discretion to adjust this range based on business needs.
