Responsibilities

Reporting to the General Counsel who is responsible to 1500 employees, paralegals, attorneys, principals, accountants, CPAs, IT, HR, media, buyers, procurement, vendors, and more. You will mostly help with the following:

  • Overall chief function as all around support to senior paralegals and attorneys
  • Routinely perform a wide variety of daily support duties including but limited to: calendaring and prioritizing, phone call review, keeping minutes at meetings, manage drop box files (in concert with others), work within Smokeball software, handle printing, faxing, mail/overnight packages, copying, filing, and email/messages, schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials, other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
  • Investigative research on firms, persons, and organizations.
  • Reviewing legal documents generally for accuracy, cohesion, etc.
  • Drafting legal documents and prepare letters relating to routine correspondence
  • Locating, contacting, and obtaining outside counsel.
  • Interfacing with regulators, online reviewing entities, customers, etc.
  • Interactivity with staff at multiple companies that executives answer to
  • Vehicle registration and other administrative needs
  • Insurance roll management, HR assistance, Licensing management, assist employees with new hire and open benefit enrollments
  • Contract review, organization, prioritization.
  • Possibly attend meetings in lieu of other paralegals, attorneys, general counsel.
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
  • Travel accommodations, flights, company events.
  • Public relations activities -- media events, television show coordination, meetings, coordination, attendance.
  • Tracking, prioritizing, and scheduling workflow and communication between members of legal team.
  • Serving as a go-to first contact and conduit for company employees seeking to address legal issues also for outsiders with legal claims.
  • Prepare answers to complaints from the Better Business Bureau, State Attorney General Offices and customers.

Requirements For Paralegal

  • 3-5+ years related in-house or big firm paralegal experience.
  • Extremely organized and motivated. Self-starter needing little supervision to recognize and complete tasks.
  • Display Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
  • Extremely strong attention to detail and analytical skills.
  • High sense of urgency and problem-solving skills.
  • Excellent time management skills.
  • Strong communication skills, both written and verbal.
  • Ability to effectively multi-task.
  • Occasional business travel is a possibility

You will help the Chief Legal Officer (general counsel/CLO) and team with Compliance, Government Affairs, and Human Resources. This role will coordinate and manage executive scheduling, prepare and organize important legal and strategic materials and plans, and support board meetings and the preparation of board materials. This role serves as the eyes and ears for the CLO, connecting organizations, projects, and critical business information to the CLO, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the legal priorities of the business.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the CLO’s (and others’) needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team, Board of Directors, and leaders that report to the CLO. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.
