Job Description

Purpose

Provides advanced administrative support to a Vice President or Vice Presidents. May provide back up support to higher-level management as needed.

Responsibilities:

Maintains and manages executives’ calendars. This includes monitoring and prioritizing calendars highlighting shifting conflicts proactively.Professionally interact with AbbVie and external senior executives.Consistently handles confidential or business-sensitive information with the utmost integrity and discretion.Manages VP meeting and travel scheduling and domestic and international travel arrangements and processing expense reports.Coordinates and maintains departmental SharePoint and Teams sites.Assists in creating or modifying business documents, and preparing presentations from source materials, including obtaining necessary document signatures/e-signatures.Follows purchasing and requisition procedures, Corporate Security and Privacy Rules and Corporate Branding Guidelines.Uses and understands Microsoft Office Suite and other business-specific software, including Corporate Travel website (CTE), SAP/SRM, DSP and other programs.Leads the planning of periodic department-wide meetings team social events.Coordinates Tax/GTC offsite events.Maintains teams organizational charts.Coordinates new hire onboarding activities and office set-ups, and office/cubicle moves.

Qualifications

High School diploma or equivalent. Some college preferred.5+ years previous admin experience or equivalent.Operates with little instruction and minimal supervision.Advanced knowledge of Microsoft Office Suite and other business specific software.

The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future. We offer a comprehensive package of benefits including paid time off (vacation, holidays, sick), medical/dental/vision insurance and 401(k) to eligible employees. This job is eligible to participate in our short-term incentive programs.
