Summary
Provide secretarial, word processing, administrative, and clerical support for three partners and two or more associates. This is a busy litigation desk and requires expert knowledge of ECFs and litigation documents.
Essential Duties and Responsibilities: Including but not limited to the following:
- Create documents from handwritten or printed materials (all documents and correspondence are produced on personal computers)
- Court filings; federal and state
- Draft and revise various documents including pleadings, correspondence and memoranda
- Correctly format court pleadings according to applicable court rules including the auto-generation of tables of authorities (TOAs) and tables of contents (TOCs)
- Research state and federal rules of court and work with attorneys to ensure adherence to rules of court and codes of civil procedure
- Utilize the Pacer platform for e-filing
- Establish and maintain effective communication via telephone and in-person with lawyers, clients, administrative staff, and others
- Maintain filing system, arrange meetings, conferences and travel plans, manage travel and expense reimbursements, and submit both billing and time entry forms daily
- Handle client billing
- Handle confidential and personal matters as directed
- Maintain daily and advance calendars for attorneys
- Occasional work on a substitute basis for one or more lawyers
In addition, responsibilities related to maintaining Firm and client information are to be adhered to by all employees. This includes complying with the Firm’s information security policies, protecting Firm assets from unauthorized access, disclosure, modification, destruction or interference, and reporting security events or potential events or other security risks to management.
Qualifications
- Ten plus years prior legal secretarial experience supporting litigation, including expert knowledge of litigation forms and electronic filing in state and federal courts· Accurate typing and word processing skills, including proficiency with Microsoft Office programs (Legal Word, Outlook, Excel, PowerPoint), Elite 3E, and Chrome River
- Proficiency with time entry programs, preferably InTapp
- Excellent spelling, grammar and communication skills
- Ability to understand and follow instructions and work productively with limited supervision
- Regular attendance and acceptable punctuality
- Availability to work overtime as needed
- Ability and willingness to learn new procedures and technology
Education and/or Experience
High school diploma required, four-year college degree preferred or university or equivalent work experience.

Compensation
The base salary range offered for this role will be between $90,000 and $110,000. When determining a candidate’s compensation offer, elements unique to each person are taken into consideration including but not limited to skill set, experience level, performance, professional certifications, degrees and location, as well as the needs of the Firm.
