DEPARTMENT OVERVIEW

UC Legal – Office of the General Counsel (OGC) provides legal services to the University, including representation, advice, research and training. We offer legal opinions to the Board of Regents, administration, faculty, staff and others acting on the University’s behalf. We report jointly to the Board of Regents and to the president. POSITION SUMMARY

The Legal Operations Analyst is part of the Legal Business Operations and Technology (LBOT) team at UC Legal. The hire will apply business process and analysis concepts to support outside counsel e-billing and vendor management; internal UC Legal training program; and system administration for UC Legal-specific solutions. Responsibilities

50% LEGAL BILLING

  • Assist the Legal Operations Billing Analyst duties, to include reconciliation audits, responding to invoice inquiries, and workflow triage
  • Backup duties for lifecycle of outside counsel e-billing.
  • Support Outside Counsel Vendor Management Program.

25% UC LEGAL TRAINING PROGRAM

  • Create training materials (written, video, etc) for UC Legal applications
  • Schedule and present training to UC Legal personnel systemwide
  • Serve as point of contact for desktop support and triage. Develop relationships with IT at UCOP and campus locations.
  • Support Knowledge Management Program 

20% SYSTEM ADMINISTRATION & CONTINUOUS IMPROVEMENT

  • General system admin backup duties
  • Recommend and implement quality customer service standards and procedures 

5% DATA ANALYTICS PROGRAM

  • Prioritize and respond to standing ad hoc report requests
  • Conduct analysis and prepare summaries and proposals for a diverse range of topics

Required Experience

  • Minimum of 2 years of experience in one or more of the following areas or related fields: customer service in a high-volume setting, finance and billing, and/or general system administration.

Preferred Qualifications

  • Demonstrable data analytics and reporting skills.
  • General familiarity with information security best practices.
  • General knowledge of SaaS system administration, including but not limited to: CounselLink, NetDocuments, SharePoint, SmartSheet, and Slack.
  • General knowledge of billing practices and procedures. Experience with legal eBilling software and familiarity with LEDES format and use of standards.
  • In-house legal or law firm experience and/or knowledge of legal operations.
  • Experience developing training materials and leading training sessions.

Education

  • Bachelor's degree in related area and / or equivalent experience / training required.

Travel Requirements
5% Occasional campus visit or conference.

SPECIAL CONDITIONS

This position has been approved for a hybrid work arrangement. A new hire will be required to report to work onsite in Oakland, CA at least 2 days per week (currently Tuesday and Wednesday). Remote candidates residing in or willing to relocate to California may be considered.
