POSITION SUMMARY Commercial real estate development and management firm with a focus on large-scale retail properties is seeking a full-time Lease Administrator/Legal Assistant. The Lease Administrator/Legal Assistant is responsible for handling the day-to-day functions of lease administration, including preparing and tracking lease documents, processing, reviewing and abstracting executed lease documents, maintaining up to date information in the lease database, reviewing certificates of insurance, and preparing and circulating regular reports with critical lease information. This position is part of the Legal Department, but will also work closely with the Leasing, Accounting and Operations Departments.

RESPONSIBILITIES ·        Review and prepare new leases, amendments, extensions, assignments, commission agreements and other lease documents. Proof lease documents. ·        Review and analyze lease documents for critical lease terms, dates, financial requirements, lease compliance requirements, and pursue appropriate follow-up and action. ·        Prepare lease abstracts with detailed, accurate lease data and enter lease information into lease database. Assist with auditing, proofing and optimizing abstracted lease data. ·        Maintain thorough reference lists for lease language pertaining to co-tenancy, use, exclusive, operating covenant, use restrictions, and all other restrictions. ·        Track and report progress of new leases, amendments, extensions, renewals, notices, and other time-sensitive documents and maintain comprehensive, up-to-date electronic and paper lease and tenant files. ·        Draft written correspondence to Tenants for notice and documentation of critical lease dates such as delivery of possession, term and rent commencement. Accurately calculate, pro-rate and implement amounts and dates for commencement of rent (minimum rent, CAM, tax, insurance), rent abatements, rent increase dates, term dates and other. ·        Review monthly rent upload report and review rent rolls each month. ·        Prepare documents as needed in conjunction with processing lease documents, including estoppel certificates, SNDA’s, lease terminations and other. ·        Maintain files and documentation and update lease database as needed for short-term lease agreements. ·        Track property insurance requirements and provide property insurance certificates to lenders in accordance with loan documents. ·        Review tenant certificates of insurance and assist in monitoring receipt of current and accurate certificates of insurance. ·        Update third party certificate holder and additional insured information for annual insurance renewal. ·        Prepare and circulate regular reports of and monitor critical dates, commencement, possession, terminations, expirations, renewal options, notice periods, pending lease documents, etc. ·        Maintain loan information and manage lender approval process for leasing activity as needed. ·        Interact with tenants to obtain estoppel certificates and SNDAs, and process tenant name and address change requests. ·        Assist with special projects and assignments as needed.

REQUIRED SKILLS AND EXPERIENCE ·        Minimum of two years of work experience in commercial real estate, lease administration, or a related field, or as a paralegal. ·        Strong ability to interpret complex commercial lease language and related real estate documents. ·        Prior work experience with certificates of insurance for property and liability insurance. ·        Strong analytical, mathematical and organizational skills with exceptional attention to detail, documentation, accuracy and follow-up. ·        Demonstrated drive and initiative to anticipate, identify, solve, and follow-through on problems and the ability to act independently to achieve results with a high degree of accuracy, professionalism, and strong attention to detail. ·        Must be a self-starter, flexible and possess the ability to prioritize workload effectively, manage multiple projects, meet deadlines, process high volumes of data accurately, and use sound judgment. ·        Excellent verbal and written communication skills and ability to work effectively with all departments of the company as well as tenants and lenders in a highly professional manner. ·        Solid computer skills with proficiency in MS Word, Excel and Outlook and Adobe Acrobat DC. ·        Prior work experience with commercial retail lease database software, such as MRI Software. ·        Ability to work independently and as part of a team. ·        Able to lift 20 pounds or more.
