Introduction

The Contract Management Specialist is responsible for the contracting process which includes process management, standardization and improvement, problem management, communication, customer service and relationship building. The Contract Management Specialist processes complex information from various sources and recommends and implements best practices for the contract process to leadership and establishes relationships with both internal and external customers and vendors. The Contract Management Specialist maintains tracking and reporting metrics, manages contracts and requests to ensure contracts meet compliance with HCA standards.

Job Summary And Qualifications

  • Acts as a single point of contact for contractual matters involving HBP’s physician employment and professional services agreements.
  • Manages record keeping for all contract related correspondence and documentation.
  • Provides contract resolution for both internal and external contract issues.
  • Communicate contract-related information to all stakeholders.
  • Manages contract requests for new, renewing, and existing contracts.
  • Manages contracts by organizing in a systematic manner and monitoring and initiating next steps in the contracting process.
  • Analyzes and provides input on contract language and compensation.
  • Initiates and completes a Project Action Workflow System (PAWS) record for all contracts, outlining key data and documentation to support the contracting process.
  • Initiates the Approval Concept Form (ACF) for new projects, provides information to stakeholders, and monitors the process for completion.
  • Ensures Fair Market Valuations are current and initiates requests to “refresh” the valuations to ensure continual compliance. Works with finance and operations, gathering FMV data.
  • Communicates with multiple departments and leadership on contract status.
  • Maintains contract files according to HCA policies and procedures, including maintaining the both Team Room sites and the contracting program SciQuest.
  • Manages the administrative process of signing, logging scanning and filing of all contracts in accordance with HCA standards.
  • Prepares applicable Letters of Intent for new contracts and works closely with the Directors of Operations to maintain a smooth contract negotiation process.
  • Assists legal with updating and maintaining the contract database, ensuring physician and contractor information is accurate, and electronic documents are uploaded.
  • Reviews contract documents in SciQuest, HCA’s Contracting System, and monitors the approval process through both the “draft” and “final” contracting process, ensuring contract completion.
  • Provides recommendations to leadership to improve and standardize the contracting process across all regions, and implements changes as necessary to improve process.
  • Acts as the Subject Matter Expert for contracting matters and provides quarterly training to new and existing department personnel.
  • Establishes strong relationship with internal legal counsel and department leaders to expedite the contracting process.
  • Acts as the liaison with outside evaluators and outside counsel as necessary.
  • Coordinates with Hospital contract specialist on Professional Services Agreements, i.e. Graduate Medical Education and/or Special Services requests.
  • Drafts, evaluates, and assists with execution of physician employment and professional services agreements.
  • Has strong contract modeling language skills.
  • Demonstrates negotiation and problem-solving skills. Offers input and guidance to management team for complex contract requests.

What Qualifications You Will Need:

  • Bachelors Degree, or Work Experience in lieu of Degree
  • 5 years experience in related field
