Job Description

Essential Duties & Job Functions


  • This position will report to the Associate Director of Legal Operations
  • Manage processes and policies governing outside counsel usage and spend
  • Manage law firm matter budget review process
  • Build-out the Legal Department's internal and company-facing portals, that support data transparency and analytics dashboards
  • Identify key performance indicators (KPIs), benchmarks, and metrics to monitor department performance
  • Assist with the collection and assessment of benchmarks/metrics/KPIs
  • Present data analysis to Associate Director of Legal Operations or leadership that explains and justifies Legal Department spend, in addition to identify opportunities for streamlining processes and budget efficiencies
  • Champion planning and implementation of strategic outside counsel initiatives and support active law firm management
  • Manage and enforce outside counsel guidelines and oversee related education (training or professional development), implementation processes
  • Partner with others in the Legal Department by sharing data insights and collaborating cross-functionally to implement approved improvements
  • Responsible for management and enforcement of matter budgets in partnership with internal counsel/ lead legal professional
  • Manage internal and external billing technologies including matter management system, electronic billing, SAP and spend analytics platforms (Tableau)
  • Ensure cross-functional alignment with other key company functions (Accounts Payable, Finance, and IT)
  • Manage end-to-end invoice processing and respond to law firm and vendor payment inquiries
  • Manage law firm and vendor onboarding process through Gilead's electronic billing and matter management system
  • Review engagement letters to confirm rates, budgets, discounts are reflected accurately in spend reports
  • Document existing policies, procedures, and guidelines; maintaining a one-stop shop for online resources and training
  • Lead regularly scheduled monthly, quarterly, and annual reporting requirements
  • Ideal candidate will be able to comprehend Gilead's internal reporting capabilities, and identify existing metrics schemes, potential informational gaps, and opportunities for improvement in Legal spend reporting structure
  • Analyze key billing & matter data sets for comparative analytics which illustrate trend analysis across functional activities
  • Participate in benchmark opportunities with other multi-national companies to identify leading practices
  • Proactively identify trends influencing Gilead's overall legal spending or matter workload
  • Provide support for special projects as requested and respond to ad-hoc requests

Knowledge


  • Demonstrate leadership and project management with cross-functional teams
  • Possesses a deep understanding of AP principles and ensures compliance with legal billing guidelines
  • Experience in creating dashboards and reports, and has an
  • Ability to apply insights for making improved data-driven decisions for the business
  • Self-starter, must be organized and able to work independently, manage through ambiguity, strategize, multi-task and prioritize
  • Must have advanced Excel skills (i.e., formulas, pivot charts, pivot tables, formatting, etc.)
  • Intellectually curious with an ability to process a great deal of information in a fast-paced environment
  • Willing to take initiative and demonstrate integrity to manage sensitive and confidential information
  • Ability to present complex information in an accurate and persuasive manner to all levels of management
  • Must have strong client service orientation and demonstrate high level of customer focus, independence, and initiative
  • Demonstrate diligence, organization, attention-to-detail, and follow-through skills
  • Eager to learn new things and apply knowledge to innovate, improve/simplify processes
  • Excellent written, communication, research, and presentation skills
  • Technically savvy; early adopter of corporate technology for collaboration and communication
  • Strong ability to explore and analyze datasets, visualize data insights, and communicate findings

Preferred Qualifications


  • 7+ years of working in corporate legal departments or law firms with responsibility over operational issues
  • Requires BS/BA degree or MS/MBA
  • Experience working directly with Legal electronic billing systems (TeamConnect)
  • Experience working in Finance, Accounting, and Legal Operations
  • Deep understanding of data management, analytics, and business intelligence
  • Strong experience with strategic planning, budget management, forecasting and reporting
  • Strong experience with electronic billing, matter management, and data analysis of legal services spend
  • Strong experience working with Legal vendors to manage budgets and effectively manage projects from its initiation to delivery
  • Strong computer skills required, including MS Office Suite (Outlook, Word, Excel, PowerPoint)
  • Effective written and verbal communication skills, facilitating clear and open communication at all levels of the organization
  • Ability to identify opportunities, define requirements and implement process improvement plans
  • Strong creative problem-solving skills
  • Collaborative style, with the skill to build relationships within the team, across departments, and with external stakeholders
  • Must be a team player who can easily handle shifting priorities, multi-tasking in a deadline-oriented environment

The salary range for this position is: $154,020.00 - $199,320.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
