In this role, you will support the firm owner while working directly with two or more attorneys in a fast-paced and evolving environment.

- Office Operations: Manage daily office functions, including client communication and correspondence with police departments, government entities, and prosecutors via phone, email, and mail. Oversee mail distribution and ensure office supplies are well-stocked.
- Legal Document Management: Organize, file, and maintain legal documents, ensuring attorneys have quick and easy access when needed.
- Client Relations: Schedule consultations, manage attorney calendars, and provide case updates to clients in a professional and timely manner.
- Billing & Payment Processing: Record client payments, process invoices, and track expenses to maintain accurate financial records.
- Problem-Solving & Analytical Thinking: Apply sound judgment and analytical skills to effectively address challenges and improve office efficiency.
- Attorney Support: Coordinate attorneys’ schedules, meetings, and travel arrangements to ensure seamless operations.
- Process Optimization: Assist in improving office workflows and administrative processes to enhance efficiency.
- Legal Document Drafting: Prepare legal documents, including appearances, discovery demands, pleadings, and retainer agreements.
- Discovery Management: Request, track, and organize discovery materials, ensuring timely and complete receipt from prosecutors, police departments, and other agencies. Maintain detailed records of discovery requests and follow up as needed.
- Administrative Case Management: Handle administrative tasks related to client cases, ensuring all necessary documentation and communications are properly maintained.
Requirements :
- 2+ years experience in a legal administrative role is required; experience in a criminal defense law firm is a plus.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent verbal and written communication skills for professional client and attorney interactions.
- High proficiency in Microsoft Office Suite and legal case management software.
- Ability to adapt quickly to changes and thrive in a fast-paced environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Experience handling invoices, processing payments, and tracking expenses.
- High level of discretion and confidentiality when handling sensitive legal and client information.

Pay: From $52,000.00 per year
