Pine Gate Renewables is seeking a dynamic Executive Assistant to the Chief Legal Officer to become an integral part of our legal team. The ideal candidate will serve as a strategic partner, ensuring smooth day-to-day operations, proactively anticipating needs, and supporting key initiatives. This role will involve managing schedules, handling confidential communications, and compiling and synthesizing complex information for both internal and external stakeholders.

What You’ll Do:

  • Report directly to the Chief Legal Officer and manage all administrative needs of the CLO, including all calendaring, travel arrangements, expense reimbursements, and email management.
  • Scheduling and coordinating make up 30% or more of the role responsibilities.
  • Act as a strategic partner to the CLO to:
    • Manage and coordinate Legal Department initiatives, including In-House Lawyers, Title & Survey, Legal Operations, Governance, Compliance and External Affairs.
    • Act as a liaison between executives and internal/external stakeholders, including coordination of initiatives or projects related to communication, scheduling, and prioritization.
    • Compile and synthesize complex information from various teams and deliver concise, actionable updates to the Chief Legal Officer and leadership team.
    • Follow-up on key deliverables on behalf of the Chief Legal Officer.
    • Contribute to the integration of the Legal Departments of the company’s primary subsidiaries, advocate for continuous improvement across our common systems.
  • Prepare agendas, meeting notes, and action items for Executive Team and Legal Department meetings.
  • Arrange and coordinate internal and external, onsite and remote, including venue, catering and logistics planning for the Legal Department and Board of Managers meetings.
  • White glove approach to internal and external meetings or events if dictated by the event.
  • Perform tasks and projects of varying levels of scope / impact and priority in a fast-paced environment.
  • Handle confidential information with the highest level of discretion and professionalism.
  • Anticipate the Chief Legal Officer and Legal Department needs, proactively identify solutions, and ensure follow-up on key initiatives.

Must-Haves

  • 5+ years of experience in an executive assistant role supporting C-suite members. Experience supporting a legal team is strongly preferred.
  • Experience working in renewable energy is strongly preferred.
  • Strong verbal and written communication skills, with excellent attention to detail, are essential for interacting with internal and external stakeholders clearly and professionally.
  • The ability to anticipate potential issues and proactively solve problems or find solutions as they arise is key.
  • Self directed with the ability to work well within a team.
  • Expert with Microsoft Outlook/email scheduling software required. Proficient with DocuSign, Microsoft PowerPoint, Excel and Teams.
  • Ability to manage several tasks simultaneously without compromising quality or deadlines.
  • Willingness to aid the legal team in tasks that may fall outside normal scope of duties if required.

Education and Certifications

  • Bachelor’s degree in Business Administration preferred.
  • Current Notary commission is strongly encouraged.

Work Environment

  • Remote with the ability to travel up to 25%.
  • Ability to support a team that works in the Pacific time zone.
